Van Meter Williams Pollack (VMWP) is an award-winning multi-disciplinary architecture and urban design firm with offices in San Francisco, Denver, and Minneapolis. We are an open and progressive office with a variety of challenging projects. VMWP’s architectural work focuses on community development including mixed-use, multi-family, and affordable housing projects. Beginning with a focus in sustainable practices and emphasizing urban infill, our work in community development and architecture, including transit-oriented design, has been recognized nationally. VMWP’s architectural work focuses on affordable housing, community development and sustainability. Our urban design work includes transit-oriented development, master planning, specific plans, and design guidelines. Controller | San Francisco, CA

Van Meter Williams Pollack LLP seeks a motivated Controller to lead our bookkeeping team. Thorough knowledge of the Deltek-Ajera software platform in the architecture or engineering industry is a must. The position is for our main office in San Francisco, California.

Key Responsibilities:

The role includes leading two coworkers to insure proper operations of all bookkeeping and financial management reporting. Including:

  • Manages accounts payables, account receivables, payroll and overall office bottom lines.
  • Responsible for project invoicing, aging, insurance certificates.
  • Maintain accurate project information and accounting records in Ajera.
  • Maintain accurate ledgers, profit and loss statements and balance sheets.
  • Maintain system of hard files of project contract copies and billing records.
  • Support the Partners with financial reporting, compliance, bank relationships, loan renewals.

Skills and Experience:

  • Experience with QuickBooks and Deltek-Ajera in a senior accounting role
  • Minimum of 10 years of professional experience
  • Strong skills with Ajera accounting software and good knowledge Microsoft Word, Excel, and Google Suites
  • Must possess strong organizational, communication and management abilities, show excellent attention to detail
  • Able to meet deadlines and accounting cycle dates
  • Demonstrate leadership and organizational abilities to set up and organize our bookkeeping and accounting system
  • Motivate, communicate with, and lead the bookkeeping team
  • Work with a wide variety of individuals in a diverse creative office
  • Coordinate with the Partners of three offices and assist with financial compliance in California, Colorado, and Minnesota

Specific tasks required of the position include:

Billing:

  • Set up project and billing terms in Ajera according to the contract
  • Assist PMs in project set up
  • Set up, maintain, and monitor billing rate tables
  • Produce billing drafts for project manager review
  • Prepare and print final invoices
  • Mail/email all final invoices with all applicable backup
  • Maintain project billing files electronic and hard copy
  • Timesheet management for staff

Accounts Payable:

  • Receive, Review & verify payables for entry into Ajera
  • Accurately code and enter invoices into Ajera for job costing or general overhead expense
  • Monitor consultant invoices outstanding and release payments to consultants when client invoices are paid
  • Copy project related vendor invoice charges for back up to reimbursable billing
  • Maintain accurate vendor data base and FEIN information (W-9)
  • Maintain accounts payable files for vendors hard copy and electronic
  • Company Credit Card Reconciliations

Accounts Receivable

  • Print and mail monthly A/R statements
  • Conduct monthly A/R meeting with Partners and all Project Managers
  • Daily receive all incoming checks, code to correct project, prepare deposit, and post cash receipts

Salary

Anticipated $120K to $150K. – Depending on experience and skill level. This is a full-time in-person position.

Job Captain | Minneapolis, MN

Located in VMWP’s Minneapolis office, the Job Captain position is a rare opportunity to participate in shaping a new office from the ground up. We are seeking a Job Captain with strong design skills and the ability to lead production teams from design through construction documents. The position requires working closely with the Project Architect to assemble design and construction document packages and coordinating documents with the consultant team.

Strong graphic skills and competency in the following software programs are encouraged: Sketch Up, Photoshop, Illustrator, InDesign. Excellent CAD/BIM production skills are required, and Revit experience is a strong preference.

The Job Captain position requires:

  • an architectural degree
  • 5-7 years of professional design experience
